We make the first exchange easier by organising technical information around the decisions a buyer actually needs to make.
The six editable worksheets below are public buyer tools. They contain blank fields, not manufacturer results or market approvals. Review completed files against your destination market, finished product and internal approval process.

The specification worksheet helps procurement, QA and formulation teams agree which attributes matter before they compare a 98% or 99% HPLC offer. Keep your target separate from the supplier's proposed limit. If a method or impurity limit is missing, leave the field open and ask for the current specification instead of copying a number from a different seller.
Second, review evidence for the proposed lot. The COA layout shows the fields to check on an actual document supplied for that material. It is an example of what to inspect, with no results. The COA reading guide explains why a purity figure alone is insufficient. If your qualification plan requires external verification, define the sample and test panel using the third-party testing guide.
Third, send one consistent commercial brief. The RFQ template records stage, requested quantity, market, packaging, documentation and timing. It asks the supplier to confirm current MOQ, lead time, price and payment terms; none of those fields is prefilled. The procurement page explains these fields and contains an enquiry form.
Finally, keep regulatory and stability review separate from the quote. The market checklist prompts the responsible reviewer to record sources and decisions. It is not a statement that an ingredient or finished product is approved anywhere. The stability worksheet is a place to summarize a genuine study after the protocol and results exist. A blank worksheet cannot support a shelf-life claim.
These six files are editable buyer templates. They are not a current product specification, real COA, third-party report, market authorization or stability dataset. Those documents need a named product, lot, method, market and review date. For actual supplier records, use the quality page or contact form and confirm availability for the specific request.
Start with the intended product and market, then list the parameters your QA team actually needs to release an ingredient. Record the supplier's method beside its limit. For HPLC assay, ask whether the value is reported as-is or on a dried basis and what reference standard was used. A proposed target is not the same as an approved supplier specification.
Copy results from the current lot document into the layout only after matching the product, lot and specification revision. Keep the original COA attached to your review record. If a result is missing, reported in an unexpected unit or tied to a different lot, mark it for follow-up rather than filling the gap from a representative example. See the COA field guide.
State whether the enquiry is for a sample, pilot run or commercial order. Separate the immediate requested quantity from an annual forecast so a supplier can quote the right pack and timeline. Ask for the price basis, sample terms and validity period in the supplier response. Do not assume a previous quotation applies to a different grade or destination.
Assign a named reviewer for each jurisdiction. Record the source and review date behind ingredient status, intended use, claims and label decisions. A generic ingredient document cannot settle the legality of a finished product; product category, dose, consumer group and local requirements can change the assessment. Revisit the checklist when a formula or market changes.
Use the blank summary only after a real protocol identifies material lot, product matrix, packaging, storage conditions and time points. Record measured results with the analytical method and acceptance criterion. Note deviations and missing time points rather than interpolating a shelf life. The approved study report remains the primary evidence; this worksheet is an index for review.
Score the twelve questions with evidence status rather than a sales claim. Mark critical gaps that block sample approval, then assign an owner and next action. Reassess after the supplier provides a lot COA, method summary or revised quotation. The sheet is useful for comparing suppliers because the same evidence standard is applied to each candidate.

The blank worksheets above are public downloads. Actual lot documents and project-specific technical files must be requested, and availability confirmed for the proposed material and market.
